On an individual application basis, which we are not reporting here (i.e. your MRSware installation), it may not be 100%.&nbsp; We could have restarted your system for a major MRSware Desktop update, or restarted individual installations if there was a particularly egregious error that need to be cleared.&nbsp;&nbsp;<br /><br />Of interesting note in that regard, restarting an installation's service for updates only applies to Desktop updates.&nbsp; You can log in to their demo application to explore the features and when you're ready you can ask their support team to provide you with a blank database to continue a free trial with your own data.</span>&nbsp;</p></blockquote><p>Sometime the AI doesn't know though; and will tell you so,</p><blockquote><p class="" style="" font-style:="" overflow-wrap:="" font-family:="" font-size:="" margin-top:="" margin-bottom:="" border-width:="" initial="" border-style:="" none=""><span style="" color:="" font-family:="" font-size:="" font-style:="" font-weight:="" white-space-collapse:="" background-color:="">Apologies, but I lack data on the matter you brought up &eth;&Yuml;&tilde;&rdquo;. However, I'd be happy to provide information on other topics! &eth;&Yuml;&tilde;&#129;</span></p></blockquote><p>Having an AI respond is&nbsp;an interesting option, and seems to do a nice job of summarizing small bits of information from various pages on the website (and there are a lot of pages between all the training classes and support documentation).<br><br><strong>But What about Search?</strong>&nbsp; The Search box is still there at the top of the page, and is still useful!&nbsp; While the AI will give you those short chat-snippets, the Search actually shows you the pages matching your query -- think of it like "here is the long-form instructions for that thing you asked about."</p><div><strong>Add AI to your own site / how is this applicable to me?</strong>&nbsp; If you are interested in chat on your own site --&nbsp;whether with a live person, or using the AI with pre-defined answers / trained on your site, or a combination of the all of those -- you can quickly and fairly easily add it using a tool like <a href="">Tidio</a>.&nbsp; Our&nbsp;7 year anniversary of using <a href="">Tidio</a> on <a href="">MRSware.com</a> is coming up the end of this December, and it has been an effective way to interact with prospects quickly, answering questions efficiently.&nbsp; AI was more recently added to the features, and is free to get started -- the free tier is going to be plenty to handle most manufacturers reps' sites; if you are a distributor or manufacturer, you may run out of the included free interactions, depending on how busy your site is.<br>&nbsp;</div>AI Sales Import<h1><span style="" font-size:="">AI&nbsp;Sales Import</span></h1><strong><a href="" target=""><img alt="" sales="" import="" class="" data-id="" height="" src="" style="" width:="" max-width:="" float:="" width=""></a></strong>The MRSware Sales Importer has built-in intelligence, with the overall goal to minimize or eliminate any work necessary in the spreadsheets before you import the data.&nbsp; The AI in Sales Import automatically determines if you are importing an Order summary, Invoice shipping report, or a Commission Statement, placing all the relevant data in the correct places.<br><br>There is no need to manually create new Customers, or even match up Customer Names, before import.&nbsp; The importer will match to existing entries, create new ones, and allows for grouping entries so that the common practise of each Manufacturer having their own name variation for each Distributor is handled and tracked directly by MRSware.<br><br>One of the common things we run into is people spending a lot of time in the spreadsheets before entering them -- removing columns, changing names, adding columns, etc. -- all of which is unnecessary because the importer takes care of that for you.<br><br>Here is the challenge I issue to you: <em>Give it a try</em>.&nbsp; The system takes massive files, like those from a well-known master distributor with over 30,000 rows of data in it, crunches it, enter missing customers and item numbers, and captures everything from line item details to End Users.&nbsp; and Sales Reps when they login would typically only see their own assigned territories anyways, so they kind of take care of themselves.&nbsp; If you would like to see a territory at a time, you would just filter on the Sales Rep column to get their specific list of Customers.<br />&#8203;<br /></div>  <h2 class="wsite-content-title">Geographic Filtering</h2>  <div class="paragraph">Another nice filtering options is either City, or even partial-Zip Code (to get a metro area, for example).&nbsp; For the Zip Code example, you would filter on the Business Address column, using the "contains" filtering option.&nbsp;&nbsp; For example, contains "787" will get me all of greater Austin, while contains "7874" will get me the lower and west-suburbs.<br />&nbsp;<br />The kind of filtering you do will mostly depend on customer-density, so it is going to vary from one rep and geography to another.&nbsp; Let me know if there is a specific combo / area you are trying to achieve, and I can probably be more specific with the filters.&nbsp;&nbsp;<br />&#8203;</div>  <h2 class="wsite-content-title">Categories are Groups / Keywords</h2>  <div class="paragraph">Use Categories to save groups of customers after you do some filtering.&nbsp; Here are the steps as they are now:<ol><li>Go to Companies, filter by City and/or State, Sales Rep, Company Type, etc.</li><li>Click the "Select All" button in the top-left column header of Grid view (checks all the entries you are currently showing).</li><li>Use the Batch Edit button to assign a new Category, such as "map: Greater Boston".</li><li>Repeat for as many variations as you like.&nbsp; In the future, filter on the Categories column (using contains again) to pull up everyone in a particular group.</li></ol> &#8203;<br />I am not sure how much you use Categories now, but the usage of it is as a generic / keyword grouping mechanism for both Companies and Individuals.&nbsp; Here are some that we use, just so you get an idea:<ul><li>Newsletter: Users</li><li>Newsletter: General Audience</li><li>Industry: Jan/San</li><li>Industry: Automotive</li><li>Member: AIM/R</li><li>Member: PTRA</li></ul><br />We actually have probably 100s of these checkboxes, so that we can easily pull up groups (and combinations of groups) for our various sales efforts.&nbsp; More information on Categories in general, can be found here: <a href="https://www.mrsware.com/apps/search?q=categories">https://www.mrsware.com/apps/search?q=categories<br /><br />&#8203;</a>You can see all of the Categories you have been using in Web, under the <em>Contacts</em> menu -&gt; filter by Categories to find entries for specific industries or market segments.&nbsp; All of the criteria available in your CRM can be used to refine your map to what is needed right now.<br />&#8203;<br /></div>  <h2 class="wsite-content-title">Details and Directions</h2>  <div class="paragraph">Clicking on a pin in the map calls up the details for that Customer, including all of the sales columns, growth metrics and last visit.&nbsp; For example, add 00net.com as a Blocked entry, and all emails, regardless of who at that domain sends them, will be sent to the Spam folder.&nbsp; Make another entry for news@00net.com as a News List entry, and those emails from that specific address will be delivered to the News folder, while other senders from the same domain continue to be sent to Spam.<br /><br />In the same vein, it is unnecessary to list every email address at a domain to block them, a single entry for the domain itself will do the same...&nbsp; If you like to trim your list -- as it does tend to build up over time -- make use of the Batch Edit feature of MRSweb to multi-select and delete the redundant entries.<br />&#8203;<br /></div>  <div class="paragraph">Access the full list of Senders in the main "Mail Senders List" view, or jump to the individual filtered lists quickly from the drop down at the top of the listing for "Allowed Senders", "Blocked Senders", and "News Senders".<br />&#8203;<br /></div>  <h2 class="wsite-content-title">Warning - Possible Bad Entries</h2>  <div class="paragraph">This View, found under the "Mail Senders List (item count)" drop-down, filters to show your company's own domain(s) entries, as well as entries from common domains that effect the whole domain.<br /><br />The first part is to make sure that your entries neither Block nor Allow your entire domain, nor accidently block a valid address within your company.&nbsp; Both Blocking or Allowing your own domains are am easy way to get Spam emails in your Inbox, or good emails in your Spam folder.<br /><br />The second part, common domains blocking, is to prevent entries that effect major and entire domains, like @gmail.com, for example.&nbsp; You will definitely see Spam from gmail addresses, as they give them out free without any validation.&nbsp; However, blocking the entire domain is likely to block some valid addresses for your users as well.<br /></div>  <blockquote>Encouraging Users to use their company email addresses only for business use, and using a personal email address for personal use, is a great way to separate out spam from your business email system.&nbsp; In this situation, we&nbsp;have a great new line with some cross-selling opportunity with a particular product we've carried for years.&nbsp;I would like to:</div><ol><li>Know who has been buying this product, when was their last purchase, and in what quantities have they bought it?</li><li>Let's zero-in on our top 3 customers by quantity, and take a look at&nbsp;what other products they are buying already.</li><li>Now that we have some top prospects for our cross-sell, let's approach them with the offer to see how receptive they are, and refine our technique before we go wide with a&nbsp;marketing campaign for the other buyers.</li></ol><div><br><strong>A Product's Customers</strong><br>We have all these beautiful spreadsheets from our manufacturers, listing all sorts of details from last month.&nbsp; Maybe someone bought our product of interest last month?&nbsp; Maybe they bought it in the spreadsheet for the month before that?&nbsp; There is a lot of work in answering a question that is potentially spread across many spreadsheets, even if you only want to go back one year for your answer.&nbsp; You could potentially go back to the manufacturer and ask them to do the legwork to find your answer, but what is the risk here?&nbsp; I wouldn't even want them getting into the thought-cycle of "you don't know who is buying this?".<br><br>However, we've been loading all that great detail into our sales system on a regular basis, and now it's time to shine.&nbsp; We click over to the&nbsp;<em>Product Catalog</em>, scroll / filter / or search for our item, and click on it.&nbsp; Metrics light up our screen: quantities&nbsp;Ordered and Shipped, total dollars spent, high/avg/low prices and the average discount given.&nbsp; Click over to the&nbsp;<em>Customers</em>&nbsp;tab, and there it is, the list of Customers who have purchased this item.<br><br>I can take a look at the full list, or sort by recent orders; in this case, I am interested in a top-down look at the Quantity column to see who are my top buyers.<br><br><strong>A Customer's Products</strong><br>Let's look into the purchasing habits of our top three customers.&nbsp; Right from this same screen, we can click the underlined <em>Customer Name</em> to pop up that Customer's entry in our Customers list.&nbsp; Boom, once again we are presented with some great metrics for our customer -- year-to-date numbers, last year numbers, growth percentage, and 12-month variations of those.&nbsp; Click over to the&nbsp;<em>Products</em>&nbsp;tab and visit a similar view to what we had in the Product Catalog, this time covering all the items being purchased.&nbsp; Do we have some synergy?&nbsp; This answer doesn't come from the metrics, but from some salesperson knowledge (with a side of our sales call notes in the <em>Activities</em> section).<br><br><strong>The Approach</strong><br>Now we make some decisions on next steps.&nbsp; Do we set up a <em>Project</em> for our marketing campaign, linking <em>Opportunities</em> that we pursue or responses we get from our broader emails or touches during visits?&nbsp; Projects helps us group our various entries from around the system to track what is going on, especially between multiple sales people executing on our marketing.&nbsp; Opportunities allows us to track Close Reasons and Win/Loss -- if we get a lot of losses like "price" or "missing feature", then we have some avenues to report back to the manufacturer and perhaps follow back up on those.<br><br><br>Trending over time, aggregating data at different levels, isolating opportunities, and surfacing details in a digestible format.&nbsp; The grouping is first done by the individual Payment, and then totaled again at the bottom of the listing by whatever other data the User filters on.<br /><br />In the screenshot above, we can see that the User-filter is set to the Manufacturer "Havenmade Safety", so both the totals per Payment made to the Agency is shown, as well as the total for that Manufacturer.&nbsp; Further refinement could be done to filter by a specific time range -- year to date or last year, as examples.<br /><br />Some of the other metrics shown include:<ul><li>The average Commission Rate that the manufacturer is paying on each check, and overall.</li><li>The average Split Rate being paid out to the Sales Reps, for those that do commission splits.</li><li>A comparison of the Actual Commission paid to the Agency versus the Anticipated Commission that was records on the Order, for those that track from Order (or PO) to Payment.</li><li>And some metics around how long it take the Manufacturer to ship goods, and then pay the commissions due on those shipments (typically reflecting lead times and payment terms).</li></ul></div>  <div class="paragraph">Are there other aggregates you would like to see, particularly ones mixed directly into the screens you are working with?&nbsp; When the same name is used, the filtering purpose of the field is eliminated.&nbsp;<br /><br />To help keep the entries unique, an empty Batch Number field will automatically be filled in with a unique Number.&nbsp;
