Remove Access to Mailbox for Disabled User

Q: How do I make it so a disabled User can no longer access email and MRSware information?  Since he is a remote salesman who has MRSware on his phone and computers.

A:  To disable his MRSware login, go to "Users" in System Administration, right-click on his name and select "Disable".  That both prevents login and removes it from billing. 
 
If you are going to keep the Mailbox, but don't want him to login via phone/tablet, change the mailbox password.

​Go to the Mailboxes list in System Administration, right-click on his mailbox and select "Set Password".  It doesn't matter what you set it to since this is only for remote access, which you are effectively disabling by setting the password to something random.

Allow Send from Mailboxes

The Allow Send function in Mailboxes allows the System Administrator to set particular mailboxes so that e-mail messages can not be sent from them.  The intended use of this function is for mailboxes where there might be an e-mail address that it is desirable to only allow inbound e-mail and not outbound from that address.


A couple of examples...
  • We use a mailbox called "Shared" where multiple people can copy their e-mail messages to share them internally.  We do not wish this address to be sent from (uncheck the "Allow Send" box); nor do we want it to be sent to (uncheck the "Allow Relay" box).
  • We have a mailbox called "Fax" that receives our company faxes.  We do not want Users to send messages out from this mailbox, which will also stop replies being sent back to it to (uncheck the "Allow Send" box).

​Open the System Administration screen from the Go To menu.  Open the Mailboxes listing, and Edit a mailbox.  On the Add/Edit Mailbox dialog is the new checkbox Allow Send, uncheck the box to disallow sending from this address/mailbox.

When a mailbox does not have the ability to send from it, and a message in that mailbox is Forwarded or Replied to, the message will default to come from the User's Default Mailbox, as set in their Preferences.

Access to Mailboxes, and the e-mails contained within those mailboxes, is set in the System Administration section of MRSware, and generally controlled in two ways:

1. Through the Mailboxes listing, by checking the Users' names that should have access to the mailbox being added/edited.

Deleting Mailboxes and Options for those Emails

​Q: Since Robert & Julian are not with us anymore, can their e-mail boxes be deleted altogether? The reason that I ask this is because I still need to go into Julian's folders & delete the e-mails there.

Also, if we do delete their mailboxes will anyone who sends an e-mail to that address receive an automated message that the e-mail address is no longer a valid address?

A: Yes, to both your questions. You can delete a mailbox from the Mailbox listing in System Administration. If the mailbox is deleted, anyone that sends to that address will get a message that says something like "That mailbox does not exist" (the exact message comes from their own mail service, so it will vary).

Reset POP3 / IMAP Passwords (for the Administrator)

The administrator can reset POP3 / IMAP passwords through the System Administration screen.  Use the "Go To" → "System Administration" menu to open the System Administration screen.  Click on Mailboxes from the list.  Presented is a list of all of the mailboxes in the system.  Right-click on a mailbox and choose "Set Password" to the POP3/IMAP password as desired.

POP3 and IMAP use the same password and settings; there is just the one password and settings for access via either of these protocols.

Mail Administrator Features

Several mail administration features have been added for the system administrator to better interact with their users' mailboxes.  Following is a summary:
  • Administration -> Open All Mailboxes in the System Administration screen will allow the system administrator to open all mailboxes on the system to more easily interact with the individual mail messages and settings.
  • The Archive Mailbox option has been added to the context menu of the Mailboxes screen, which allows the system administrator to run the archival process directly on each mailbox.
