Add/Edit Opportunities Type, Sales Phase, or Close Reason

There are certain areas in MRSware where it makes sense to use industry specific words or terms that are used by your company rather than generic terms.  In Opportunity Tracking there are three places to customize MRSware for your company - Type, Opportunity Phase, and Close Reason.

This field describes the kind of opportunity you are working on.

Opportunity Phase

This field indicates the sales steps your sales team uses in order to close the opportunity.

Opportunity Close Reason

This field lists various reasons why you won or lost the business.

Each of these areas have drop down menus that you can add to, edit, or delete from. ​

​! Be careful when deleting  as the deletion may affect more than a single opportunity.

Control Your Shortcuts and New Panel Items

Did you know that you can turn off Shortcuts and New panel items that you don't use?  You can also add Shortcuts for any of the functions that you use quite often.  You make these changes by going to the Tools -> Preferences screen in MRSware, and simply check or uncheck any of the options you like or dislike.

MRSware Permissions

​Permissions in MRSware are controlled by a combination of the Type assigned to an item, the Managementstructure of the Users, and the Filters assigned to Users and Roles.


There are 3 Access Levels for Types in MRSware.  These Access Levels control the permissions of the items where they are set.  The three Access Levels are:
  1. Public - When this type is set for an item, all Users can see that item.  Setting Public on an item overrides any other Management or Filter permissions that would have excluded the User from seeing this item.
  2. Private - When this type is set, only by the User who created the item can see it.  This setting also overrides any Management or Filter permissions that may have allowed other Users to see the item.
  3. Shared - this type of permission means that anyone invited or assigned to, or linked to the journal, appointment, task, or project, as well as the User's Manager will view the journal, appointment, task or appointment.

Safeguards for accidentally deleting content in MRSware

​Q: It occurred to me as I am telling the team that they are now supposed to do their own updating on contacts and customers that someone might have the potential to blow up a major file. What are the backup systems for our files on MRSware?

A: There are actually several things that prevent/can prevent Users from deleting information. I'll go through them in the order that they would apply to the User:

1. There are permissions in System Administration that you can be set on any of the Roles to restrict the ability to delete items in the system. For example, the default permissions for a Sales Rep preclude them from deleting Customers or Invoices. You can override these, so do be careful not to give everyone all Roles in the system, eliminating this safe-guard.

2. Customers can't be deleted that have financials tied to them. Companies can't be deleted that have Customer entries tied to them. Contacts can't be deleted that have CRM Activity tied to them. These types of restrictions prevent the User from deleting entries that have other information in the system associated with them, especially data like Invoices, which the typical User can't delete.

3. There is a "Recycle Bin" feature that only the Administrators have access to, which allows the Administrator to undelete any item in the system that should not have been deleted.

4. And lastly, we do nightly backups of all information on the system and archive those for two months. Any individual entry can be recovered from these backups as required.

The Administrator can create new User accounts (or disable unused ones) as necessary.  This is done in the System Administration screen found under the "Go To" → "System Administration" menu option.

To create a new user click on "Users" in System Administration.  Click the "New" button.  Enter the new User's information.  After you are done entering their information and options, you will be prompted for a default password.  Create a password of your choosing, which you will then provide to the new user along with their username and the Internet Address and Installation Token for your installation.

​Only designated Administrators at your company can access the System Administration screen -- if you don't see "System Administration" under your "Go To" menu (it is the last entry in the list, at the bottom), then you do not have permissions to access this area.

Creating one company-wide, "master" database of contact and companies

​One of the typical challenges/projects we see when a new customer comes on board with MRSware is the creation of one company-wide company and contact list that everyone can use. The challenge part is that the source of this new "master list" is found in multiple, previously individually kept contact lists from various programs that the inside staff, outside field, accounting department, etc. kept. This makes many sources of the information, all of which will have different information, whether it is just names of contacts and companies spelled differently, or entirely different (or missing) address, phone numbers, e-mails, et. al.

So what do we do about all these sources and differing information? We work at it. It is going to be an iterative process of working through the lists to bring them together. Some of the tools you will use along the way include those built into your existing contact program (the source of the list), Excel, and tools we have built into MRSware.
