Changing MRSware permissions due to a disaster

When disaster strikes, your Disaster Plan kicks in.  Depending on the type of disaster, you may have to add or change your employee's responsibilities.  If you are adding duties for one person you will want to give them permission to access other areas in MRSware.  If you are eliminating an employee you will definitely want to disable their permissions so they cannot access your data.


MRSware has extensive permissions which you can change whenever needed.  To access permissions:

1. On the menu bar, click on "Go To -> System Administration"

​Permissions in MRSware are controlled by a combination of the Type assigned to an item, the Managementstructure of the Users, and the Filters assigned to Users and Roles.


There are 3 Access Levels for Types in MRSware.  These Access Levels control the permissions of the items where they are set.  The three Access Levels are:
  1. Public - When this type is set for an item, all Users can see that item.  Setting Public on an item overrides any other Management or Filter permissions that would have excluded the User from seeing this item.
  2. Private - When this type is set, only by the User who created the item can see it.  This setting also overrides any Management or Filter permissions that may have allowed other Users to see the item.
  3. Shared - this type of permission means that anyone invited or assigned to, or linked to the journal, appointment, task, or project, as well as the User's Manager will view the journal, appointment, task or appointment.

Mailbox Permissions

Access to Mailboxes, and the e-mails contained within those mailboxes, is set in the System Administration section of MRSware, and generally controlled in two ways:

1. Through the Mailboxes listing, by checking the Users' names that should have access to the mailbox being added/edited.

Creating a New MRSware User account

The Administrator can create new User accounts (or disable unused ones) as necessary.  This is done in the System Administration screen found under the "Go To" → "System Administration" menu option.

To create a new user click on "Users" in System Administration.  Click the "New" button.  Enter the new User's information.  After you are done entering their information and options, you will be prompted for a default password.  Create a password of your choosing, which you will then provide to the new user along with their username and the Internet Address and Installation Token for your installation.

​Only designated Administrators at your company can access the System Administration screen -- if you don't see "System Administration" under your "Go To" menu (it is the last entry in the list, at the bottom), then you do not have permissions to access this area.
