There are 3 Access Levels for Types in MRSware. These Access Levels control the permissions of the items where they are set. The three Access Levels are:
- Public - When this type is set for an item, all Users can see that item. Setting Public on an item overrides any other Management or Filter permissions that would have excluded the User from seeing this item.
- Private - When this type is set, only by the User who created the item can see it. This setting also overrides any Management or Filter permissions that may have allowed other Users to see the item.
- Shared - this type of permission means that anyone invited or assigned to, or linked to the journal, appointment, task, or project, as well as the User's Manager will view the journal, appointment, task or appointment.
When the Shared Access Level is used for a Type, any of the items with this type are then subject to the Management structure and Filters. These two permissions structures are accessed and set up in System Administration.
To access the permissions available in "Roles", click on Go To -> System Administration -> Security -> Roles
Let's use the example of "Sales Manager". To view the various permissions and filters available to the "Sales Manager" role, click on Sales Manager.
To the left of each name you will also see a green or red flag. The green flag means permission is granted (on). The red flag means permission is not granted (off). To turn on or off the permission, right click on the name (Reporting & Analysis) and select Toggle. When you click on the + sign next to the MRSware menu, other menu options open. Expand each name to view further permission options. |
To view the filters available click on the Filters tab. A drop down menu is available with the filter options: Use Default - this option is MRSware's pre-configured filtering setting None - this option turns the filtering off Limit To User and Employees - this option sets the filtering so the User can see their own data and see any data of Users that report to them (as set in the Managers tab of the User) Limit To User - this option sets the filtering so each User only sees their own data Deny - this option sets the filtering so the User does not have access to data |
To access the permissions available in "Users", click on Go To -> System Administration -> Security -> Users.
Let's use the example of "Jenny". To view the various options available, double click on Jenny.
Jenny is the Sales Manager for the company as well as a general MRSware User. Check each box next to her roles. Each person may have premissions from more than 1 role. The permissions will be cumulative. For instance, regular Users will be assigned the "User" role. They also may be assigned another role, such as our Jenny example of "Sales Manager". Both roles have default permissions. Please check each role assigned to the User to understand the permissions granted. |
To view her managers, click on the Managers tab. Jenny's manager is Robert Doe. Check the box next to bob's name. In this dialog Jenny's Manager is Robert Doe. The permissions are hierarchical, meaning that the manager's manager can see everyone's appointments that report to them downstream. For example: Matthew and John report to Jenny (their Manager); Jenny reports to Robert (her Manager). Matthew creates a Shared-Type appointment and doesn't invite anyone else. Jenny and Robert can both see the appointment in Matthew's calendar; John cannot see the appointment. |
To view the filters available, click on the Filters tab. The Add/Edit User, Filter tabe offers the sames menu options as the Add/Edit Role, Filter menu options: Use Default - this option is MRSware's pre-configured filtering setting None - this option turns the filtering off Limit To User and Employees - this option sets the filtering so the User can see their own data and see any data of Users that report to them (as set in the Reports To tab of the User) Limit To User - this option sets the filtering so each User only sees their own data Deny - this option sets the filtering so the User does not have access to data |
