Sales Rep Activity Reporting

As business grows, it's harder to keep track of sales activities.  Managers often ask - Is there any way to search by sales rep to see a summary of journal activity and non-activity for that sales rep's customers?

For example: Let's say Sales Rep George has 25 customers.  I would like to get a "snapshot" of his customers with his call frequency. I.e., he went to ABC Supply twice but went to XYZ Industries no times.


In MRSWARE there are 4 ways to find reports on sales rep/user activity: 

1) Search Journals by User
To see a list of activities entered by a particular user, select "Search" → "Journals" from the menu and select the user from the "Opened By" selector.  You will probably also want to use the date range selectors to narrow down the results to a range you are interested in.  The search results are all journals matching your criteria.  You can look through the list, open any journals to read the details, sort, filter, and save the list out to a spreadsheet ("File" → "Save As"). 


2) Run the Journal Activity by User or Journal Sales Activity by User reports
There are two reports that print the journals in a more reading-friendly way.  The Journal Activity by User is meant as a summary of time spent and where it is being spent.  The Journal Sales Activity by User includes the notes of each journal and is used as the more detailed report of the activity. Go to Report Explorer, run either of the reports, selecting the desired User and Date range.  You can run reports in Excel or PDF formats.

3) Search Customers by Sales Rep
What you can't really do is search for non-activity -- the system records what he does, not what he hasn't done.  This is where the Search Customers by Sales Rep comes in...  You can certainly get a list of his assigned Customers and compare that to the list of Journals he has entered.  You may want to sort and filter the customer list to get just active customers for the last year and compare this list.  The comparison is probably best done in Excel, where you can copy from one list and paste it into the other, then sort to see them side by side.

4) Journal Activity Analysis
There is also a Data Analysis cube, Journal Activity Analysis, that aggregates Journal information for the company.  It is a pretty simple cube that allows for various sorting, filtering, and grouping of Users, Journal Types, Descriptions, and Dates. The metric shown is hours, so users can break down the time being spent on various activities as compared to other users and activities.
