Are you experiencing a delay receiving emails on Android devices?

I was noticing delays in retrieving emails, even when my email app on my Android phone was set to grab them every 15 minutes.  Turns out there is a feature in newer versions of Android that will "optimize" your battery by restricting programs' ability to use the data connection in the background.  Basically, despite telling your email app to fetch new messages every X minutes, the device is not allowing it to do just that.

There are 2 settings of interest around this, the Battery Saver mode and the Battery Optimization settings.

Battery Saver is something that the user can activate manually to reduce battery consumption when needed, and also automatically activates when the battery is at a critical level, perhaps 10%, 5%, or another preset level.  Battery Saver, among other things, will turn off the background data of most apps.

Battery Optimization is a separate setting that the device automatically turns on for some (most?) apps.  It applies the same background data restrictions as Battery Saver mode, but is active all the time, regardless of how much battery is available!  To review the list of apps that are being "optimize", and to disable this feature for your email app, click on the Battery Optimization selection in the Battery Saver menu.

Always Check Spelling before Sending an Email

MRSware email can be set to automatically check the spelling in a message before sending it.  To enable this option, select the Tools menu and Always Check Spelling before Sending when creating a new email.  The option will remain enabled until unchecked by the User.

Drag-and-Drop to Success: Create Journals or Appointments from Emails

When a new email arrives:
  1. If it is to schedule an appointment, click on the email and drag it to the Calendar icon in the Shortcuts panel or on the Shortcuts button bar.  This will create a new Appointment in the system, with the advantage that the text of the email is already copied into the Notes section of the new appointment, the sender is already linked to it, and the Subject is the subject of the email.

    From here the User can easily fill in the day and time, check availability, save the appointment, and even send out an iCal to other attendees.

Mailbox Archive Options, Rules, and Tips

Using the mailbox archive wizard periodically can help reduce the clutter in mailboxes, help folders in both MRSware and IMAP clients load faster, as well as free up storage space if you are getting near your included amount.


There are a couple of different archiving options in the wizard:
 
1.  "Archive all folders according to their archive settings."
The default is to archive messages older than 6 months.  You can check these settings by right-clicking on a folder, such as the Inbox, and selecting "Archive Rules".  All messages that are archived with this option are moved (deleted) from the mailbox to the archive file -- i.e. there is no need to then additionally delete anything from the mailbox.
 
2.  "Create archive only, do not delete any messages from the server."
This option follows those same Archive Rules, but does not delete the messages from the mailbox when it is done. After it is done, you would then manually delete anything you didn't want in the mailbox any longer.
 
3.  "Export the entire mailbox to an archive, do not delete any messages from the server."
This option creates a copy of all messages in the mailbox, placing those copies in an archive file.  Use this option to create a complete backup copy of the mailbox, regardless of any Archive Rules that are set on individual folders.

Request E-mailDelivery Receipt

​When a User would like confirmation that an email has been successfully delivered to the recipient's mail server, they can select "Request Delivery Receipt" from the "Options" menu on an email message that is being written.  When that message is successfully delivered to the intended recipient's mail server, a confirmation email from [email protected] will be returned to the sender.  One delivery receipt will be received for each intended recipient -- if the message is sent to 3 people, 3 confirming emails will be sent back.

​There are other discussions in the Documentation section of Support that go over how to send out bulk e-mails and to create a customer list by manufacturer.  In this discussion, I want to talk about how to create a list of your active customers, those with current sales, and a list of your customers over a certain dollar amount for marketing purposes.

Here are a couple of scenarios with instructions on how to set up the lists. 


Scenario I. You want to notify your current, active customers about a management or sales rep change at your company and how it will affect them.

Throughout MRSware you have the ability to type a company or contact name into a variety of Contact fields: Company cards, Contact cards, Contact selectors in Journals, Projects, Appointments, Tasks, Opportunities, Campaigns, Invoices, E-mail To fields, as well as the Contact Selector fields you use to link companies and contacts to Journals, Appointments, Projects, etc., and Search fields  All these fields not only offer Auto Complete options, but also offer a text control with context sensitive hints. 
​
What this means is that if you type in part of a name and click on the Tab or Enter key, the system will finish filling out the name for you (Auto Complete).  However, when there is more than one match or if there is no match in the system for the name you typed in, then you will see a squiggly colored line under the name (Text control with context sensitive hints).

Android K-9 Mail Client Setup for IMAP Email

The best way to access your MRSware Email from Android is to download the K-9 Mail Client from the Android Market and set it up to access your mailbox using IMAP.  IMAP will keep your Android phone in-sync with your MRSware mailbox, so that both places have all the changes that you make in either one (mark as read, move to folder, etc.).

What is WebMail? FAQ

The WebMail.MRSware.com site is a POP3/IMAP client to access Plus Package Users' Mailboxes in MRSware.  This site does the same function as setting up your phone, Outlook, or using other web mail services like Gmail or Yahoo Mail.  In each of these cases, these clients connect to and get e-mail from MRSware Mail Servers for the User's Mailbox that is entered.

WebMail.MRSware.com Email Access

All Plus Package Users have always had the ability to access their MRSware Mailboxes via POP3 or IMAP from any mobile device, mail client software, or webmail website.  In each of those case, the User needs to do a one-time setup of their specific email settings for their mailbox.  While this is not a big deal, it does require the User to take some action to setup access to their mailbox ahead of time.

With the introduction of our own webmail website, we have done the setup for each User's company already.  What this means is that each User only need to know their Email Address and Email Password in order to login and access their mailbox.  Now, if your computer is lost, if you get a new computer, or if you have the need to access email from someone else's computer, the setup is done for you and all you need do is login.

Mailbox Permissions

Access to Mailboxes, and the e-mails contained within those mailboxes, is set in the System Administration section of MRSware, and generally controlled in two ways:
​
1. Through the Mailboxes listing, by checking the Users' names that should have access to the mailbox being added/edited.

Any User Name that has a checkmark in the User column will have access to that mailbox for viewing and responding on behalf of that mailbox.  Anyone with the Owner column checked will have full access to the mailbox including the abilities to create folders and delete emails.  In both cases, the User will be able to see the full mailbox contents (all e-mails), including seeing those in Advanced Search results and the Activity lists of Contacts/Companies.

2. In the Security sections Settings, by selecting the Filter level for the "Mailbox" entry.

The Default Filters in Settings control access to mailbox contents for all Users in the system.  To set individual Filters per Role or User, edit the desired Role or User and selecting the desired Filter in the same way.  The available filtering options are:
​
a. Use Default
b. None -- set this option to turn filtering off.  All mailboxes' contents will be available to all Users.
c. Limit To User and Employees -- this sets the filtering so that the User can see their own mailbox and see any contents of mailboxes of Users that Report To them (as set in the Reports To tab of the User).
d. Limit to User -- this sets the filtering so that each User only sees their own mailboxes' contents.
e. Deny
